Create and Share Office Documents on Facebook with Docs.com

With FaceBook becoming larger than life, the chances of  finding most of your family members, school-mates, colleagues, buddies, friends, coworkers, university mates, or old any other acquaintance is not too difficult. You could easily share media files with them, but exchanging documents was a problem.

There is a solution for this problem, and it is, a result of joint effort of Microsoft fuse lab and FaceBook. They, together, have been able to provide online document editing suite. In a nutshell, it is an office web application which is customized for Facebook users.

Officially, the Docs.com was announced by FaceBook founder “Mark Zuckerberg” on the April 21, 2010, which was at the FaceBook f8 conference. By utilizing the strength of “Office web Apps” and inbuilt office 2010, it enables users to create, edit, view and also share the Excel spreadsheets, Word documents, OneNote and PowerPoint presentations. This move brings in convenience for the FaceBook users to start using office documents, and makes it easier form them to share those documents with anyone listed in their contacts.

The application also allows for uploading office documents from the local computers. The saved files and documents will be securely hosted on cloud computing servers, and they can be shared with friends very easily on FaceBook.

Docs.com enables users to mark the files as private documents. Such documents can be managed only by the account holder or by the people who have been assigned with the editing rights. You could easily add more editors by using a button that is available on the right side of the documents.

Docs plug-in with Facebook, also allows users to find the document shared by his or her friend on their wall post. They could also share it further. You can also incorporate a new tab on profile, which will contain the details of shared documents with the friends.

Therefore, Docs are able to take the benefit of common features of Facebook such as hitting “Like” button and comment for public discussions. If you want to use Docs.com, then you have to first request for permission on FaceBook Docs Applications.

You don’t really have to worry about sharing the documents anymore. You could easily upload them to your profile and use them according to your needs.

We feel that this is an excellent feature by FaceBook. Additionally, you might also want to check on Google docs which allows for similar features but from your Google account. Here Facebook is a better option because it happens in a closed environment, but if you use Google docs feature, there are lot of over heads when it comes to sharing !

Also, we feel that it is better to download the document to your local computer, do your work and then upload them again. This way you will be able to use more office features of Microsoft word / doc,  especially those which are not are not available in their online counterparts. Obviously, Microsoft office in the offline more responds better to your commands.

How Can I Delete Recent Documents List In Office 2007

Configuring Office 2007 to not store the recent files list

If you are using a shared PC, then there might be several reasons for which you might want to hide the documents that you use and edit while doing your work. However, Office 2007 (like the previous versions) maintains a list of recently opened files in the File heading – and can be easily accessed by clicking on the Office logo to the top-left of the Office 2007 application like Word, PowerPoint, etc. Thus, all of your recently accessed files are readily available for perusal of the next person who happens to pry into the files list of the Office 2007 application.

It will ease your heart to know that there is a way that you can configure Office 2007 to erase al traces of recent files accessed by you. This facility was there in Office 2003 and earlier editions as well – only that the location of the preference is different with the new layout of functions in Office 2007.

In this article, we will tell you how you can delete the recent files list from PowerPoint 2007, and the steps are quite similar for the other applications as well. These simple steps are outlined below.

  1. Open PowerPoint 2007.
  2. Click on the Microsoft Office logo to the top-left of the application window.
  3. In the dropdown menu that comes up, click on the tab that says PowerPoint Options.
  4. A new dialog will crop up – click on the Advanced tab on the left-hand side panel.
  5. In the Advanced options for working with PowerPoint displayed on the right-hand side panel, under the Display heading, locate the option for Show this number of Recent Documents.
  6. Change the value in the number field next to this option to 0.
  7. Click on OK.
  8. Exit the Options menu.

From now on, PowerPoint will not record or display any of the files that had been accessed using it.

How Can I Add YouTube Videos In PowerPoint

How to Add YouTube videos to your PowerPoint Presentation

This article shows how you can easily add a YouTube video to your presentation – and how you can carry this off without any problems at all. All you have to do is simply follow the steps given below.

Method A

The obvious way is to download the video from the web using any of the online (or on PC) softwares available. Then convert the FLV video into AVI, WMA, or MPEG using a video converter (again, there are loads of them out there), and then embed the object in the presentation. However, in this process you might lose out on the video quality. But this is the safest bet.

Method B

If you are going to present at a place where you have access to an internet connection, you can afford to directly embed the YouTube video in your presentation. For this, you have to do the following:

  1. Click on the Office logo to the top-left and then click on PowerPoint Options.
  2. Go to the Popular tab.
  3. Select the check-box next to Show Developer tab in the Ribbon and click on OK.
  4. Navigate to Developer -> More Controls.
  5. In the list of objects in the new window, select Shockwave Flash Object and click OK.
  6. Create a box in the slide where you will put the video.
  7. Right-click on this box and select Properties.
  8. Select Shockwave Flash Object from the drop-down menu.
  9. Next to the Custom option, click on the small square that has three dots on it.
  10. This will open a Properties dialog for the Shockwave Flash Object. Paste the URL for the YouTube video (you can find it under URL to the right of the video page on YouTube) into the Movie URL section.
  11. Replace the ‘=’ and ‘?’ signs in the URL with ‘/’ sign.
  12. Click on OK.

That’s it – you are done. Your YouTube video is successfully embedded in your slide show – to be downloaded and viewed in real time.

How can I Email A Powerpoint slide ? I got a powerpoint slide through email – how can I view / see it ?

Recently one of my reader had a query. He had a made a PowerPoint and sent it across to few of his friends. While some could successfully download and view the presentation, a few others had problems viewing the downloaded presentation. The reader was curious to know how to make the PowerPoint presentation everyone’s computer friendly 🙂 .

Well the problem was, some of those friends who could successfully open the PowerPoint presentation had some version of Microsoft office installed on their system and quite obvious that they were on Windows operating system.

Those who could not open the presentation were either on some other OS or did not have Microsoft office installed on their system.

The solution for this is quite simple. Microsoft has a free stand alone PowerPoint player. This can be attached in the mail or even better a download link can be added. The link is :

http://msdn.microsoft.com/en-us/library/aa168133.aspx

Even better solution is to ask them to download Open Office suite, which is a replacement for most of Microsoft office products and the best part is it comes with GPL license.
